Documents and the document viewer

Browse every document in the case, open one at the exact page or moment, read recordings beside their transcripts, and find the original file.

#The Documents screen

Documents lists every document in the case, in the order the app found them, 100 to a page (Previous / Next at the bottom).

ColumnWhat it shows
IDThe document's ID (DOC-0417, EMAIL-0007, VID-0012) or its Bates number.
TitleThe document's title, or its file name if it has none. An attachment says which e-mail it came in.
KindPDF, e-mail, spreadsheet, recording and so on.
DateThe document's own date, where the app could find one.
SizePages, a recording's length, or nothing for kinds without either.
(folder icon)Show in Finder (Mac) or Show in Explorer (Windows): selects the original file.

The filters on the left (Kind of file, Date, Folder) work the same as on Search. On a narrow window they fold away behind a Filters button.

Documents appear here as the files are read, so a case that is still reading shows what's ready.

#Opening a document

Click a title in Documents, a search result, a highlight's citation, or a link from your AI agent, and the document viewer opens. At the top:

  • Back to results, Back to documents or Back, depending on where you came from.
  • The document's ID.
  • A switch for how to show it, when there's more than one way: Pages, Text or Recording.

Under that are the facts (kind, date, number of pages or length, Bates range, Attached to for an attachment), the title, and:

  • Opened at with a citation chip, when you opened the document at a particular place. Click the chip to jump back to that place after scrolling away.
  • The file's path in the case folder.
  • Show in Finder / Show in Explorer to find the original.

#Pages view

PDFs, scans, pictures and production pages open in Pages: the pages themselves, as images, one under another. When you arrive from a citation, the viewer scrolls to the cited page and draws the cited words in highlight on the page, using the positions the text recognition recorded.

Pages load as you scroll, so even a very long document opens quickly.

#Text view

Text shows the document's text, part by part: pages, paragraphs, spreadsheet rows or e-mail messages. When you arrive from a citation, the cited part is marked and the matched words are highlighted. Very long documents load in sections; Show earlier parts loads what comes before.

Word files, e-mails and spreadsheets only have a Text view. A spreadsheet row is shown as its cells, each with its column name.

If a document has no text, the viewer says so: It may be a picture without words, or empty (or, if it hasn't been read yet, It has not been read yet).

#Recordings

Audio and video open in Recording: the player, with the Transcript beside it.

  • A citation like VID-0012 08:41 opens the recording at that second, ready to play.
  • As it plays, the line being spoken is marked in the transcript.
  • Click any line of the transcript to play from there.
  • Each line shows its time, written exactly as citations write it.

If a recording can't be played inside the app, the transcript is still there, with the times to find each line in another player.

#Names and stand-ins in the viewer

You see the documents with real names. Hover over a name the app detected and a small tooltip shows its stand-in, for example Stand-in: PERSON A. Turn on Show stand-ins at the bottom of the left column and the viewer shows stand-ins instead, hides the title and file path, and covers names on page images. See Stand-ins and what the AI sees.

#Bates numbers

For a production with Bates-stamped pages:

  • The document's Bates range (first to last) is shown among its facts.
  • A Bates number opens the exact page it is stamped on.
  • In Documents and search results, the ID column shows the Bates number where one applies.

See Citations, IDs and Bates numbers.

#When something is missing

  • "This file is no longer in the case folder…": the original was moved or deleted. Its text is still searchable, but pages and recordings can't be shown. Rescan, or point the case at the folder's new location.
  • "The place this link points to was not found in the document…": the document has been read again since the link was made. The viewer opens the document anyway.

Your AI agent ends its answers with links. A discovery-engine:// link opens the document in this app, at the cited passage. A file:// link points at the original file. Some chat windows won't open these with a click; the plain path the agent prints beside them always works.
